For contractors handling a change on site
Agree the extra work before the extra work starts.
A customer asks for something outside the original job. Before ordering materials or sending the crew ahead, write down the change so both sides can review the same scope, price and timing. Use this checklist with your existing contract and local requirements.

The approval checklist
- Identify the original job. Include the customer, site and original estimate or agreement reference.
- Describe what changes. Say what will be added, removed or replaced, with quantities and exclusions where needed.
- Show the price change. Separate labor, materials and applicable tax. Make clear whether the figure is additional to the original amount.
- Record the timing. Describe any effect on visits, completion date or material lead times. Do not promise a date you cannot support.
- State the payment terms. Show when the added amount is due and how it relates to existing payments.
- Obtain and keep approval. Let the right customer contact review the exact version. Keep the signature, date and version with the job before proceeding.
Example: adding lights to a kitchen job
Illustrative scope: Add six recessed lights above the island, including wiring, switches and ceiling patching. Write down any excluded decoration or fixtures, the extra labor and materials, the tax setting and the schedule effect. These are example fields, not a quote or a recommended price.
If the change changes again
Do not quietly edit an earlier approval and treat it as consent to the new work. Prepare the revised scope and price for review and keep a record of which version was approved. Keep the original estimate and later changes connected to the same job.
How JobNeatly fits the checklist
JobNeatly lets you write a job and price, copy a review link and send it yourself by text or email. The customer reviews and signs in the browser. The record keeps the signature, timestamp and exact version shown. You control who receives every link; the app does not send messages for you.
The current homepage lists the first 3 signed approvals, then $9 USD per approval or $19 USD/month. Review the current product and checkout terms before buying.
A record is not a legal guarantee
This checklist is general workflow guidance, not legal advice. A browser signature does not by itself guarantee enforceability, payment or compliance with local construction and consumer rules. Check who has authority to approve and what notices, cancellation rights or forms your work requires.
