Shopify Payout Reconciler

Match each Shopify payout to what is inside it.

Drop in the Shopify Payments transactions CSV. See the items for each payout date split into sales, refunds, disputes, reserves, fees and other, added up into a batch total. When a payout amount is available, the total is compared with it. The pack adds a journal entry for each deposited payout that checks out. Nothing is uploaded.

Tested only on made-up files built from Shopify's documented columns, never on a real Shopify export. It does not check anything against your bank. Check the totals against your Shopify payout page before you rely on them.

The Shopify CSV has no currency column. Set this first, or change it after loading.

What it does

Groups by payout

Rows are grouped by Payout Status and Payout Date. Shopify can pay out more than once on a date, so a dated group is an aggregate until you confirm the file is a single payout export.

Splits each payout

Sales, refunds, disputes, reserves, fees and other, from the Type, Amount, Fee and Net columns.

Checks the total

Items are added up into a batch total. For a confirmed single-payout export you type the payout amount from Shopify and the two are compared. A difference, an unknown type, exact duplicate rows or a payout that is not deposited is flagged and blocks the journal. We never check against your bank.

Questions

Which file do I use?

In Shopify admin go to Finance, then Payouts, and export the transactions: either one payout or all transactions (Shopify help: Shopify payout export help). The tool needs the documented columns Transaction Date, Type, Payout Status, Payout Date, Amount, Fee and Net. A file without them is rejected with a message.

How does the payout check work?

Shopify's CSV is documented without a payout ID or a payout total column, and Shopify can pay out more than once on a date. So a file with many payouts only gets aggregate totals. Export one payout at a time, tick the single-payout box, and type the payout amount from your Shopify payout page. Payout-type rows block the journal because their sign and fee semantics have not been verified. Export only the item transactions.

Is the journal entry accounting advice?

No. It is a starting point built from a deposited payout's totals, with account names you set. Your accountant decides how Shopify sales, fees, refunds and disputes are booked. The tool makes no tax or accounting claims.

Has it been tested on real Shopify files?

No. It was tested only on made-up files built from Shopify's documented columns, so amount formats and payout row signs in a real export are unconfirmed. Amounts must use a decimal point. Check the totals against your Shopify payout page before you rely on them.

What about currency?

The file has no currency column, so you set the currency. One currency per file. Download each currency separately.

Is anything uploaded?

No. The file is read on your device.

Supported-format preview: one UTF-8 CSV, 5 MB, 20,000 rows, 2,000 characters per field, 100,000,000 per amount. Currency is chosen by you, using ISO currency decimal precision. One currency per file; mixed currencies cannot be detected. Dates are kept as written, not converted. Checking an entered amount is not proof of a bank deposit or correct accounting. Exact duplicate rows remain counted and block the journal until you confirm they are separate transactions.
